How we work

How we work

Understand first. Build around the company. Look after it every month.

Most companies already have their information, in spreadsheets, inboxes, chats and people's heads. What is missing is the system that connects it. This is how we build it: five steps, a written scope and a fixed price before the build, then monthly care.

How we work

Five steps. A written scope and a fixed price.

  1. Step 01: listen Understand In writing · no call required You tell us how your company works: in writing, voice notes, screenshots or files. We ask questions and map the operation back to you. A map of your operation, in your words.
  2. Step 02: draw Design Written scope · fixed price We design the system around it: modules, words, steps, roles, rules and reports. A written scope, a timeline and a fixed price.
  3. Step 03: build Build On a tested core We build it on our tested base (sign-in, roles, audit log, exports, backups) and load your real data from your files. Your system, with your numbers, reviewed on real screens.
  4. Step 04: launch Launch With your team Your team starts using it, with training and close support in the first weeks. A system in daily use.
  5. Step 05: maintain Maintain Monthly Hosting, backups, monitoring, fixes, support and small adjustments. New modules are quoted separately. A system that keeps working, and one person responsible for it.

Every system

What every system includes.

  1. Sign-in Two-step sign-in A password plus a code, required for owners and admins.
  2. Roles Roles and permissions Everyone sees and changes only what their role allows.
  3. History Audit log Every change recorded: who, what, when, before and after.
  4. Export Your data, exportable Export everything at any time, as plain CSV files.
  5. Hosting Hosted in the EU European data centres, daily backups, restores tested.
  6. Import Imports from your files Spreadsheets come in with a preview and row-by-row checks.

The eight parts of a company

The eight parts of a company

  1. Clients: Contacts, quotes, contracts and their history.
  2. Projects: Orders, jobs or contracts with budget, status and owner.
  3. Operations: Who does what, when, with which resources.
  4. Costs: Supplier invoices, hours and materials, per project.
  5. Payments: What was invoiced, collected, or is late.
  6. Documents: Contracts, files and approvals, in the right place.
  7. Tasks: Owners, due dates and reminders.
  8. Reports: The numbers the owner asks for every week.

What we build

One system for one company. These are examples of what it can contain; your version has your modules, your words and your workflow.

  1. Operations systems

The system a company runs on: clients, projects or orders, costs, payments, documents and tasks, connected.

  2. Internal tools

The spreadsheet everyone depends on, rebuilt as software with rules, roles and a history of changes.

  3. Client portals

A private space where your clients see their project, documents and next steps.

  4. Project and job systems

Budgets, cost to complete, progress payments and margin, per project, as it happens.

  5. Reporting

The numbers the owner asks for every week, ready without assembling them by hand.

  6. Automation

Reminders, follow-ups and routine steps that happen on their own, on your rules.

  7. AI-assisted workflows

Reading documents into drafts, answering questions about your own numbers: only where it helps.

Built once. Cared for every month.

Implementation: we map how your company works, design the system with you and build it with your own data, with a written scope and a fixed price. Monthly care: hosting, backups, fixes and small improvements, month after month. The monthly fee is not unlimited development; new modules are quoted when you need them.

Blueprint

How a project moves through the system.

  1. Quote accepted The client, the quote and the contract, in one record.
  2. Project opened Budget, stages, owner and dates, straight from the accepted quote.
  3. Costs recorded Supplier invoices and hours land on the project as they happen.
  4. Payments tracked Invoiced, collected, late: visible without asking anyone.
  5. Margin reported Status and margin per project, without assembling a spreadsheet.

What the system organises

Four parts. One system.

  • Clients. Every client, quote and contract in one place. Clients and contacts; Quotes and follow-ups; Contracts and documents; Client portal; History of every exchange.
  • Projects. Every project, order or job, and how it is going. Budgets and progress; Tasks with owners and due dates; Team and roles; Files and approvals; Alerts with a reason.
  • Money. What you spend, what is still to be collected, what you earn. Costs per project; Supplier invoices; Payments and what is late; Margin, now and at the end; Exports for the accountant.
  • Control. The owner's view, ready without assembling it by hand. What needs attention today; Weekly reports; Automations on your rules; Imports from your spreadsheets; AI where it helps.
